As we expand our enterprise partnerships and international operations, we're looking for an ambitious Business Operations Manager to work directly alongside our Founder & CEO and help us take the company to the next level.

The role

This is a unique opportunity to become a key member of Vaultik's leadership team, working closely with the CEO across business operations, client management, team development, and strategic execution.

We're looking for someone who can think strategically but isn't afraid to roll up their sleeves. Someone who can bring structure to a fast-growing business, take ownership of important initiatives, and make things happen.

You'll be involved in everything from managing enterprise clients and scaling our authentication workforce to improving operational efficiency, coordinating teams, and supporting international expansion.

Think of this as an opportunity to help run a company, not just manage a department.

What you'll do

Business Operations & Strategy

• Work directly with the CEO to execute business priorities and strategic initiatives.
• Oversee day-to-day operations, coordinate teams, and ensure projects move forward.
• Develop scalable processes, operational reporting, and performance indicators.
• Identify bottlenecks, improve efficiency, and solve operational challenges.

Client & Partner Management

• Help manage relationships with enterprise clients and strategic partners.
• Coordinate client onboarding, implementations, and service delivery.
• Participate in client meetings and ensure commercial commitments are delivered.
• Support new business opportunities and international client rollouts.

Workforce & Team Development

• Lead the recruitment, onboarding, and operational scaling of our authentication specialists.
• Manage workforce capacity, productivity, and service quality.
• Build processes to support increasing authentication volumes across multiple markets.
• Coordinate internal teams and external service providers.

Business Performance & Growth

• Support financial planning, budgeting, forecasting, and performance reporting.
• Work with product and technology teams to introduce AI and automation into operational workflows.
• Help establish the organisational infrastructure required for international expansion.
• Take ownership of cross-functional projects and ensure successful execution.

Who we're looking for

• 4+ years of experience in business operations, management consulting, startups, scaleups, or related roles.
• Experience coordinating teams, managing clients, and delivering complex projects.
• Strong organisational, analytical, and problem-solving abilities.
• Commercial awareness and confidence interacting with senior stakeholders.
• An entrepreneurial mindset with a proactive, hands-on approach.
• Ability to work independently, take ownership, and make decisions.
• Strong interest in technology, AI, and business innovation.
• Excellent written and spoken English; Italian is a plus.

Location & working model

This role is based in Milan, Italy, with a hybrid working arrangement requiring 2–3 days per week in the office.

You'll work closely with the Founder & CEO, so regular in-person collaboration is essential. Candidates must be based in Milan or willing to relocate.

This is not a fully remote position.
